Managing Collaborations
This page covers how to view, update, and manage collaborations after they have been created.
Collaboration list
Navigate to Collaborations in the sidebar to see all collaborations across your campaigns. You can also view campaign-specific collaborations from within a campaign.
From the collaboration list, you can:
- Search collaborations by creator name or handle.
- Filter by status, campaign, or tags.
- Sort by smart order (attention needed first), creation date, update date, cost, or match score.
- Click any collaboration to view its details in a side drawer.
Batch operations
Select multiple collaborations using the checkboxes to reveal the batch toolbar. Batch operations allow you to:
- Update the status of multiple collaborations at once.
- Add or remove tags in bulk.
This is especially useful when managing large campaigns with many creator partnerships.
Collaboration details
Open a collaboration to see its detail drawer, which is organized into sections:
- Header — Creator profile (avatar, handle, nickname), linked campaign name, and quick actions (delete). Click on the creator to open their profile. Non-owners see a read-only banner.
- Status flow — Visual pipeline showing the current stage. Click any stage to advance or revert the status. Shows the cancellation reason if the collaboration was cancelled.
- Deal terms — Cost, currency, and expected post count. All fields are inline-editable by the collaboration owner. Keeping the cost accurate is important for CPM calculation.
- Metrics — Key performance indicators for quick reference: estimated views (median video views), estimated price, creation date, follower count, and average production days (when available).
- Email threads — Linked email conversations with the creator. Click a thread to open the full conversation. Only the collaboration owner can see thread content; other team members see a redacted view.
- Tags — Labels for organizing and filtering collaborations. Editable by the collaboration owner.
- Delivery tracking — Shipment tracking for physical products (see below). Editable by the collaboration owner.
- Posts — Content published by the creator that has been attributed to this collaboration. You can confirm, reject, or manually add posts here. You can also refresh metrics for individual posts.
- Notes — Notes attached to the collaboration. Only the collaboration owner can add notes.
- Activity timeline — Chronological log of all events (status changes, emails, content delivery, etc.).
Updating collaboration status
As the partnership progresses, update the collaboration status by clicking on the status flow pipeline:
- Pending → Negotiating: When the creator acknowledges and begins discussing terms.
- Negotiating → Fulfilling: When terms are finalized and work begins. At this point, the AI will automatically analyze linked email threads and attempt to fill in the cost and post count if they are not already set.
- Fulfilling → Completed: When all deliverables are met.
You can also move a collaboration back to an earlier status if needed, or cancel it with a reason at any point.
TIP
You can skip statuses when appropriate. For example, if terms are pre-agreed, you can move directly from Pending to Fulfilling. You can also revert statuses — for instance, moving a Completed collaboration back to Fulfilling if additional work is needed.
Delivery tracking
For collaborations that involve shipping physical products to creators, you can track delivery status by adding tracking numbers.
Adding a tracking number
- Open the collaboration detail drawer.
- In the Delivery Tracking section, click Add Tracking.
- Enter the tracking number, select the carrier, and optionally add a ship date and notes.
- The platform will automatically check the shipment status via 17track and update it periodically.
Delivery statuses
| Status | Description |
|---|---|
| Pending | Product has not been shipped yet, or tracking info has not been found. |
| In Transit | Product has been shipped and is on its way (includes out for delivery and available for pickup). |
| Delivered | Product has been received by the creator. |
| Exception | There is a problem with the delivery (e.g., returned, lost, expired, delivery failure). |
You can add multiple tracking numbers to a single collaboration if you are shipping multiple packages.
Activity timeline
The activity timeline automatically tracks these events:
| Event | Description |
|---|---|
| Created | Collaboration was created. |
| Status changed | Status was updated (e.g., Pending → Negotiating). |
| Payment made | A payment was recorded for this collaboration. |
| Content delivered | Creator submitted content deliverables. |
| Content verified | Delivered content was verified and confirmed. |
| Email sent | An outreach email was sent to the creator. |
| Email replied | The creator replied to an email. |
Tips
- Keep collaboration statuses up to date so your team has an accurate view of campaign progress.
- Use notes to record negotiation details and agreements.
- Link email threads when creating collaborations so the AI can auto-extract deal terms later.
- Use tags to categorize collaborations by outcome, priority, or any custom criteria.
